SECURITY CHANGES COMING TO YOUR SMART-HR LOGIN
Smart-HR is implementing a set of enhanced security measures to protect your data. Security updates include the enforcement of Multifactor Authentication (MFA) and updates to password requirement policies. You can expect these updates to be enabled on 9/28/2023.
Multifactor Authentication (MFA) will be required for access to the Smart-HR system solution (including mobile devices). Employees’ current virtual code elections will remain in place, and users will not need to replace or make additions to them.
Standard employees will have four options for MFA:
Text message
Voice
Email
Authenticator app
Managers and Administrators with more system access will have three options for MFA:
Voice
Text message
Authenticator app
If you select the authenticator app option, you will need to download an authenticator app, such as Google Authenticator or Microsoft Authenticator, to your mobile device. These apps are available in the Apple Store or Google Play Store.
Password Requirements will now require longer, more complex passwords to log in to the system. When you log in on 9/28/2023, if your password does not meet the requirements of having at least 15 characters and at least one uppercase letter, one lowercase letter, one numeral, and one special character, you will be required to change it once your current password expires.
New User Passwords will be emailed to each user as they are added. There will no longer be a default password used for new hires as they are hired. The temporary password will be used for their first login, and new users will set their own password using the same process as they do today.
Password Reset will now prompt an email response to the employee with a temporary password. Users will follow the new password instructions after this prompt to set their new password.
